Summary: This position provides oversight and coordination of the distribution and dispatching of incoming, outgoing and department mail, as well as handling the billing for related matters.
Essential Duties & Responsibilities: The following duties are considered essential to the job. With or without reasonable accommodation, qualified individuals must have the ability to:
  • Provide support by compiling written reports; maintain Mailroom logs, balance sheets, current information on postage and shipping charges; and update Mailroom manuals and procedures.
  • Manage various incoming/outgoing delivery services, postage, sorting, postal services, repairs; and, order necessary machine/general supplies for the postal equipment.
  • Provide support by picking up or dropping off mail at the U.S. Post Office, and interacting with Postal Officials as needed (FedEx, UPS, Overnight shipping, library shipping).
  • Provide general repairs and customer support.
  • Interact with outside business agents and other Seminary staff regarding postage, mail operations, equipment, scales, and other customer issues as required to successfully operate the mailroom.
  • Coordinate the schedules of all mailroom employees
  • Perform additional duties as required by management.

Qualifications To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Education and/or Experience:High School diploma or general education degree (GED) or one to three months related experience and/or training; or equivalent combination of education and experience. Valid CA driver’s license is required with a clean driving record.

Language Skills: English Required. Possess excellent verbal, writing, and interpersonal skills with the ability to understand and articulate the programs and objectives of the institution; Ability to read and write reports, correspondence, and procedure manuals; Able to effectively present information and respond to questions from groups of managers, constituents, and the general public.

Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals; Ability to compute rate, ratio, and percent and to draw and interpret bar graphs..

Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists; Ability to interpret a variety of instructions furnished in written and oral form.

Computer Skills: Knowledge of Microsoft Excel, Outlook, and Word software.

Other Skills and Abilities: Read and understand weights and American currency. Must have a valid California driver’s license, vehicle insurance, and a vehicle to make daily trips to/from the United States Post Office.

Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions. While performing the duties of this job, the employee is regularly required to talk and hear. The employee is frequently required to stand, walk, sit, and reach with hands and arms. The employee is occasionally required to kneel, crouch, climb, and balance. The employee should possess manual dexterity sufficient to reach/handle items; work with fingers. The employee should be capable of light physical activity performing non-strenuous daily activities of an administrative nature with the ability to occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision and distance vision.

Work Environment: The work environment characteristics described here are representative of those a person encounters while performing the essential functions of this job. The work environment is usually quiet, though moderate noise can occur at meetings and social events. It is a well-lighted, heated, and/or air-conditioned indoor office setting with adequate ventilation.
