Summary: This position provides support in the timely and accurate distribution and dispatching of incoming, outgoing and department mail, as well as providing clerical support to the Director of IT.
Essential Duties & Responsibilities: The following duties are considered essential to the job. With or without reasonable accommodation, qualified individuals must have the ability to perform the following duties:
  • Provide mail service by processing all incoming/outgoing mail, sort incoming mail, interdepartmental mail, notices and memorandums; transport mail to various locations and pick up mail from drop boxes and the U.S. Post Office in a timely and efficient manner.
  • Provide assistance and customer service by weighing mail and outgoing packages, determining proper postage, and operating the postage meter, selling stamps, assisting with special mail needs, and maintaining the campus mailbox system.
  • Provide administrative assistance by recording and filing all stamp sales in the ledger and balancing the cash drawer; stock supplies for equipment in mail room; maintain postage and stamp log, UPS log, forwarding addresses, etc.
  • Provide clerical support to the Director of IT as needed.
  • Perform additional duties as required.

Qualifications To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education and/or Experience:A High School diploma or general education degree (GED). At least 18 years old; Must be able to read, speak and understand English to effectively communicate and to safely perform work. A valid CA driver’s license is required.

Language Skills: Ability to read, and comprehend simple instructions, short correspondence, memos and write simple correspondence.

Mathematical Skills: Ability to add, subtract, multiply and divide basic numbers and fractions; Understand weights and American currency.

Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists; Ability to interpret a variety of instructions furnished in written and oral form.

Computer Skills: Knowledge of Microsoft Excel, Outlook, and Word software.

Other Skills and Abilities: Ability to operate a postage machine and meter.

Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions. While performing the duties of this job the employee is regularly required to stand, continuous walking, use hands to finger, handle, or feel and reach with hands and arms. The employee is frequently required to twist, bend, climb stairs, and, lift up to 50 lbs. Specific vision abilities required by this job include close and distance vision and ability to adjust focus.

Work Environment: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The noise level in the work environment is usually moderate. It is a well-lighted, heated and/or air-conditioned indoor office setting with adequate ventilation.
