Summary

This position serves as a coordinator between the Seminary’s external and internal constituencies for all Ontario campus events and facilities use, including scheduling, reservations, catering, set up and tear down, building access, etc., as well as providing various related administrative tasks and supervision of the Lobby Attendants.

Essential Duties and Responsibilities:

The following duties are considered essential to the job. With or without reasonable accommodation, qualified individuals must have the ability to:

  • Collaborate with event clients to assess needs, ensure customer satisfaction, conduct post-event evaluations, and provide recommendations for continuous improvement of future events.
  • Coordinate, schedule, and process requests for all campus events and room reservations for internal and external groups at the Ontario campus; maintain and update the event management system.
  • Prepare accounting journal entries, event inventory forms, event tracking documentation, facilities rental tracking reports, and general invoicing.
  • Track supplier and vendor performance and assist in managing service level agreements to ensure quality and timely delivery of services.
  • Purchase supplies and ensure all purchasing activities comply with established institutional spending policies and procedures.
  • Inspect inventory upon delivery and maintain organization and oversight of supply storage areas and supply rooms.
  • Coordinate the transportation of materials and equipment to and from event venues.
  • Coordinate and communicate event-related requests including setup, breakdown, custodial services, catering, building access, audiovisual equipment, and other special accommodations with appropriate departments and vendors.
  • Manage janitorial service communication system.
  • Manage calendar, forms, project management and event tools.
  • Coordinate daily facility opening and closing schedules with the Facilities Department to support campus events and activities.
  • Identify and report equipment repair, maintenance, or replacement needs to the appropriate departments, including Facilities and Information Technology; notify Facilities of campus areas requiring service or repair related to event operations.
  • Supervise, train, schedule, and assign duties to Lobby Attendants, including special projects and event support responsibilities.
  • Collaborate with the Registrar’s Office regarding classroom assignments and scheduling needs.
  • Ensure Certificates of Insurance are obtained and maintained for all external organizations and event users.
  • Develop, update, and maintain the Events Coordinator Procedures Manual to ensure consistent operational practices.
  • Work evenings and weekends as required to support campus events and operational needs.
  • Travel as required for events, training, or institutional business needs.
  • Perform additional duties and responsibilities as assigned by management.

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements below are representative of the knowledge, skill, and/or ability required. Education and/or Experience: Must have a high school education or equivalent, and a valid, insurable Driver’s License. Relevant experience preferred.

Language Skills: English Required. Ability to read and interpret documents such as safety rules, operation and maintenance instructions, and procedure manuals.  Ability to write routine reports and business correspondence.  Ability to effectively present information and respond to questions from employees, students, and the general public.

Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions. While performing the duties of this job, the employee is regularly required to talk and hear. The employee is frequently required to sit and reach with hands and arms. The employee is occasionally required to stand, kneel, crouch, climb and balance, walk and use hands to finger, handle, or feel. Additionally, the employee may occasionally be required to twist, bend, reach, climb stairs, and move furniture, or equipment.  The employee should be capable of lifting and/or moving up to 40 pounds.  Specific vision abilities required by this job include close vision and ability to adjust focus.

Work Environment: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The noise level in the work environment is usually quiet, though moderate noise can occur at meetings and social events. It is a well-lighted, heated and/or air-conditioned indoor office setting with adequate ventilation.
